BCLA/CLA Student Chapter Minutes

1. Welcome


2. Approval of previous minutes (October 7, 2008)

- Andrea moves to approve minutes, Tania seconds.


3. Approval of agenda

Discussion of the YAACS pub night locations was added to the agenda

- Caroline moves to approve revised agenda, Jeannine seconds.


4. CLA report (Mê-Linh)

- Sent in via e-mail.  Nothing new to report.


5. BCLA report (Karen)
- BCLA student membership now free for second-year students.

- Mê-Linh will be attending December BCLA board meeting in Karen’s place.

-Slais student Sarah Perrin won the contest to name the BCLA publication. New name: the BCLA Browser.


6. Communications and Website Report (Tania)

- Posted September meeting minutes. Will now post October meeting minutes.

- Will post notice about the second year free membership.

- Plans to step down in January as she cannot give full attention to the position.

- Andrea: January is a good time to recruit new intake. Can shadow and there can be overlap.

- Will be at orientation. Can stand up to recruit for BCLA if needed.


7. Treasurer report (Beth)

- Beth absent (had a baby).  Will return in January.

- Mê-Linh e-mailed to say Abi received our check from Mary Grenier and will deposit it.


8. Mentorship reports (Andrea & Katie)

- Katie absent.

- Still matching people.

    -Caroline: can we get statistics on how many people have been matched?

- Will meet soon and start planning pub night.

- Presented three logos and received feedback:

    -Tania: likes the simplicity. Heads instead of speaking bubbles?

    -Caroline: add people into the logo with speech bubbles?

     -Andrea: once the logo is decided, they will make business cards.

- Interested in recruiting additional help for mentorship program from January intake. 


9. Tour Report (Caroline)

- Andrea and Caroline only SLAIS students to attend the tour of the West Vancouver Memorial Library, along with one SLAIS graduate.

-Opened up the tour to Langara students and got a very good response.

-Attributes low attendance to being late in the term and will not do tours after February next term.

-Would like someone else to help with tour coordination for next term who could always  be present and pass around a thank you card.

-Has not decided on next tours.

    -Tania: would be great to tour new VPL branches when they open.


10. Old business

-Becoming our own club under AMS:

- In process.  AMS will let Mê-Linh know what the next step is.

- Mentorship budget.

      -Andrea: Nothing new to report.


11.  New business

-Positions that will need to be filled:

    Communications (ask Tania)

    Tour coordinator (co-coordinator since Caroline may be on co-op)

    Mentorship (an additional person)

-Executive members: please send a message to the rest of the executive board with date you are graduating/leaving.

-Preparation of material for January students

-Someone gives the BCLA/CLA talk at orientation. Mê-Linh already agreed to do this.

-Andrea will go and talk about mentorship program. Would like something to hand out.

-Andrea: could we make something with one side mentorship, one side BCLA/CLA group?

            -Tania: please send original flier with what you want to add.

            -Andrea: one double-sided sheet with:

                -student group information.

                -why join (generally)

                -mentorship.

-Club orientation date: Friday of first week. Tania will look up orientation date and e-mail it out. 

-YAACS: location of joint pub night in January

    -Something on Commercial Drive

    -Caroline: between Broadway and 12th. Toby’s?

    -Tania: The Charlatan. Bottom area good for our purposes. Small.


11. Next meeting

-In January right after first meeting of the core.

-Lunch on Tuesday or Wednesday first week of January.

-Karen will decide date of next meeting.
