BCLA/CLA Student Chapter Meeting

 

Date: January 11th, 2005

Meeting called to order: 12:15pm

 

            1.  Call to order: 12:15pm

 

2.    Minutes Adopted

 

3.    Additions to the Agenda

o      Request for an annual grant from BCLA.

 

4.    Mentorship (Anna, Kelly, Deb)

o      $184 is outstanding from the mentorship party. 

o      LASSA has put forth a grant application for the money, and Kristie will attend the GSS meeting to speak on our behalf.

o      If the money is not received another bake sale will be held.

o      A copy of the bill from the GSS has been added to the binder.

o      Repayment of individual expenses can be done through LASSA and the AMS.  Jenna will put a copy of the form in the binder.

o      Mentorship group met on January 10th and decided that Kelly will act as mentee coordinator, and Deb as mentor coordinator. 

o      Recruitment will start immediately with matching occurring in mid-February.

o      Recruitment of new mentorship coordinators will be discussed at the February meeting.

 

5.    Tours (Celia)

o      Celia will canvass the new intake and listserve for tour ideas.

o      Possibilities include: Richmond (Ironwood and Cambie), repeat of fall tours to Seattle, UBC Processing Centre, UBC Rare Books, and UBC Music Library.

o      Celia will talk to Richard Hopkins and SLA to ensure there is no overlap between tours.

 

6.    Website (Christine)

o      The CLA has to linked our website.  Hope reported that the BCLA will also link to our site.

o      The site has been updated and includes a general update line on the Events and Tours pages.

o      Please send tour and event info to Christine (in Word format) before announcing them on the listserve.

o      Christine is working with LASSA and SLA to make pages more accessible to students.

o      It was decided that the mentorship email would remain a Yahoo account.  The account will remain subscribed to the BCLA listserve, allowing the mentorship group to send emails to the list.

 

7.    Finances (In CamilleŐs absence)

o      We have $125.19, but potentially owe the GSS $184.

o      Refreshments are required for CLA event.

o      Leftover cups/napkins/etc will be kept at SLAIS for future events.

o      Janine will canvas Blue Chip cookies and other food services outlets for free day-olds.

o      Deb will request a $200 annual grant from the BCLA.

 

8.    BCLA Events (Hope)

o      The YACs presentation has not been confirmed.

o      Maureen Woods will be holding an info session about the new strategic plan for libraries.  The session is on Feb. 7th from 12:15-1:15 in TEF320. 

 

9.    560 Presentation (Janine)

o      Tuesday, January 18th, 11:30-Noon, FNS 40.

o      Janine, Kelly, Anna, Celia, Hope, Tara, and Caitlin will attend.

 

10.  CLA Presentation (Janine)

o      Don Butcher and Steven Abrams will present on Jan. 14th from 12:15-1:15 in TEF320.

o      Janine will suggest the following topics for discussion: professional development, advocacy, intellectual freedom, copyright, scholarships. 

o      Janine will ask the AMS and bookstore for free/discounted UBC mugs for gifts.

o      A draw will be offered to entice students to attend.

o      Hope offered to help set up the event and Deb and Anna will handle clean-up.

o      Janine will ask alumni group members if they can attend the lunch with the CLA members and Edie. 

 

11.  SLAIS Print Calendar (Janine)

o      Janine reported that the print calendar in the Lab 2 windows was originally intended as a way to ensure multiple groups were not meeting at the same time, but has become extra work for Debra Lem.

o      As events are supposed to appear on the online calendar, which is updated by Debra, the print calendar is potentially redundant.

o      Janine will send an email to the listserve.  Unless there is an outcry the calendar will not be maintained.

o      BCLA/CLA notices can be posted on the BCLA board.

 

12.  Chapter Emails

o      Member emails were confirmed.

o      As personal emails are not required on the BCLA/CLA Student Chapter sheet, Christine will look at minimizing the information and fitting it on a business card.

o      Kelly will send out website link to the core-list after the presentation to RichardŐs class.

 

13.  Future Meeting Dates

o      Meetings will alternate between the second Wednesday and Friday of every month.

 

Next meeting will be held on Wednesday, February 9th.  Hope will chair
